Refund conditions

Eligibility

Refunds are available to the organisation or person named on the invoice. Requests must come from that named party (or their authorised finance contact) using the email on the invoice. We do not refund a seat because a colleague later disagrees with privacy-first constraints that were stated in the syllabus.

Timeframe

Write us no later than 14 days after the invoice payment date, or 7 days before the first scheduled live session, whichever is later, if you wish to cancel for convenience. After the first live session begins, convenience cancellations move to the partial rules below.

Signal Reader (self-paced) may be refunded in full within 7 days of access being granted, provided the written taxonomy review has not been submitted. After that review is used, Reader is non-refundable.

Full or partial refund

Full refund. If we cancel a cohort and cannot offer a date within 90 days that you accept, you receive a full refund of fees paid for that seat. If you cancel under the convenience window above, you receive a full refund minus any bank transfer fees we cannot recover.

Partial refund. If you withdraw after session one of a multi-week studio but before session three, we refund 50% of the studio portion of the seat. Office hours unused under Cohort Bench are refunded pro rata if you withdraw before the first office hour. After session three, studio fees are not refunded, except where we are at fault for non-delivery.

Non-refundable items

Travel we book at your request for a workshop outside Bangkok. Custom printed workbooks already produced. Third-party venue deposits passed through at cost. VAT already remitted where Thai tax rules do not allow a reclaim. Atelier Year written audits once the audit draft has been delivered.

Refund process

Email info@mindtracegrid.digital with subject “Refund request”, the invoice number, seat type, and reason. We acknowledge within two working days and confirm the amount within five working days. If we need more information (for example, whether a taxonomy review was already used), the clock pauses until you reply.

Processing time and method

Approved refunds are paid within 15 working days after confirmation, by the same method used to pay the invoice where possible (usually Thai bank transfer). We do not send cash. We do not refund onto a card that was never charged, because this site does not run checkout.

Cancellation by Mindtracegrid

If an instructor cannot run a session, we reschedule. If two reschedules fail, you may choose another cohort or a full refund of the unused studio portion. We are not responsible for your travel or hotel costs unless we cancelled with less than 72 hours’ notice after confirming an on-site workshop date in writing.

Exceptions

If you or a named participant cannot attend for a documented medical emergency or a PDPA investigation that freezes your sandbox, we will move the seat to a later cohort at no extra studio fee, rather than refund, unless you prefer a partial refund under the rules above. Chargebacks opened without first writing the desk may delay any goodwill gesture until the dispute is closed.

Nothing in this note limits non-waivable rights under Thai consumer law where that law applies to you.
